OFFICE SERVICE SUPPORT

Overview:
Assisting the Office Service Manager and Office Service Technician in all related duties.

Organize Mailroom
  --Distribute faxes to mailboxes
  --Maintain level of cleanliness

Daily Employee Creature Comforts
  --Replenish coffee in all Filter Fresh machines
  --Check all Arrowhead dispensers and fill as needed
  --Stock and clean all galleys, and kitchen
  --Open patio doors, wipe tables & chairs and open & close umbrellas as needed.
  --Assist Office Service Technician in distribution of recycled paper to each copy room: Finance, Legal/Administration, Marketing, A&R, Production, Human Resources and Art

Assist the Office Service Technician in Lunch Program
Setup
  --Chaffers and sternos
  --Tables (as needed)
  --Organize and arrange food
  --Monitor all food distribution
  --Focus on keeping the line moving

Break-down
  --Rinse dishes and utensils
  --Load dishwasher
  --Put away food
  --Clean the kitchen counters and surrounding areas
  --Donate left over food to local charities and shelters
  --Set up Main Conference Room for the Management meeting

Office Supplies
Assist the Office Service Technician in Inventory of Supplies
  --Maintain overstock of general items needed for all employees.

Assist the Office Service Technician in Maintaining inventory and overstock in office supply cabinets

(Every Wednesday)
  --Legal/Administration
  --Second Floor Mailroom
  --Marketing Storage Area
  --Organize and check inventory on all stocked office supplies.
  --Fax log sheet to vendor

(Every Thursday)
  --Receive shipment of supplies
  --Distribute supplies and cross-reference invoices
  --Maintain file of all invoices and supply orders

Assist the Office Service Technician in Maintenance & Inventory
 --Copiers, Printers and Fax Machines
  --Troubleshooting paper jams, toners, etc.
  --Place service calls to technician when necessary.
  --Maintain overstock of all toners, copier machine staples, drum units, and developer units.
  --Act as Birdhouse Records liaison for Mission Linen
  --Coordinate routine pick-ups and deliveries
  --Stock and maintain stock of kitchen paper goods and utensils.
  --Maintain all restroom toiletries: Shampoo and conditioner, Mouthwash, Razors, Deodorant, Soap, Toothpaste.
  -- Clean small and large refrigerators on designated days.

Beginning of the month:
 --Check all fire extinguishers throughout the building to make sure they are up to standards.

Special Projects
  --Reception Coverage:
  --Monitoring switchboard and utilizing (when necessary) the paging system while the receptionist is on break.
  --Part time floating (as determined by the Office Service Manager)
  --Assisting departments in various projects such as: Filing, Creating Files, Organizing Filing cabinets, Creating Press Kits, and other projects (as requested by the dept.)
  --Relieve switch-board staff on breaks, lunch periods and as requested.

Required Skills:
Must have great customer service skills, be organized and detailed oriented and ability to work in a fast-paced, multi-tasked oriented environment. Must be able to lift up to 50 lbs and have basic handy-person skills. Must have excellent verbal communication skills and good phone presence.
